Building and placing an advanced form

Build a contact, application, survey or quote form, publish it, place it on a page and follow every response and its statistics in one place.

The Advanced Form Builder lets you create standalone forms for your store: contact, application, survey, quote request or satisfaction forms. You build a form once and place it on any page with the Form section in the page editor. Responses are listed on each form's own page, together with how many people viewed the form, started it and submitted it. Who may fill the form in — anyone, or signed-in customers only — is chosen on the section you place on the page.

Antes de empezar

  • The Advanced Form Builder plugin enabled — when it is off, Forms does not appear in the side menu
  • A page to place the form on (create one under Pages first if you have none)
  • The e-mail address that should receive new-response notifications

Pasos

Las pantallas son ilustrativas; los datos de tu panel serán distintos.

  1. Paso 1: Create a new form

On Marketing > Forms, choose New form and give it a name. The name is only shown on your own admin screens, never to visitors. After Create and edit the form opens as a draft; a draft is not visible on your store until you publish it.

  2. Paso 2: Add and arrange fields

On the edit screen, drag fields from the list on the left into the form. Field types include short answer, long answer, choice list, rating, date, file upload and a consent checkbox. Set each field's label, help text and whether it is required in the panel on the right. To split a long form into steps, drop a section break between fields; the visitor then fills it in step by step. You can also show a field only depending on another answer — for example an explanation box that opens when Other is chosen.

  3. Paso 3: Set the form's rules

The Settings tab holds the rules. Under Access, choose whether anyone or only signed-in customers can fill the form in; when you place it on a page you can only tighten this rule, never loosen it. Under Limits you can allow one response per customer or cap the total. If you enter an opening and closing date, the form shows a closed message outside that window. Under Notifications, set the e-mail addresses that receive responses and, optionally, an automatic thank-you e-mail to the person who filled it in. Under Spam protection you can switch on the robot check (Cloudflare Turnstile): visitors then pass an invisible check when they submit, and suspicious responses land in the Spam folder. Under Privacy, choose how many days responses are kept; they are deleted automatically afterwards.

  4. Paso 4: Publish the form

When you are ready, choose Publish. Every publish saves a new version of the form, and each response is stored with the version it was made against — so editing the form later never breaks your earlier responses or statistics. Changes you make without publishing stay in the draft and do not affect the form on your store.

  5. Paso 5: Place the form on a page

In the page editor, open the page, choose Add section and pick the Form section. From the list, select one of your published forms; drafts and archived forms are not offered. The section has five looks — pick the one that suits your page in the preview. You can place the same form on several pages; every response is still collected on the form's own page.

  6. Paso 6: Follow responses and statistics

Click a form in the Forms list. At the top you see views, starts, submissions and conversion; below are the Analytics and Responses tabs. Analytics shows where visitors give up, submissions per day and the answer breakdown of each question. On Responses you can filter by status, date, page and tag, click a response to see its details and attached files, mark it as read, archive it or delete it permanently. Use Export to download the responses as Excel or CSV.

Consejos

Keep the form short

Every extra field raises the number of visitors who abandon the form. Look at the step-by-step drop-off on the Analytics tab; if most visitors give up at one step, simplify that step.

Ask for consent when you collect personal data

Add a privacy consent checkbox to any form that collects a name, phone number or e-mail, and keep the retention period as short as you need. The consent wording is stored together with the response.

Preguntas frecuentes

Will I be told when someone submits the form?
Yes. If you enter a notification e-mail on the Settings tab you receive an e-mail for each response, and a notification also appears in your notification centre. No e-mail is sent for responses set aside as suspected spam; you find those in the spam folder on the Responses tab.
If I change the form later, do earlier responses disappear?
No. Each response is stored with the published version it was made against; editing and republishing leaves earlier responses and statistics exactly as they were.
How do I let only members fill in a form?
Limit access to signed-in customers in the form's settings or on the Form section you place on the page. A visitor who is not signed in sees a sign-in card instead of the form, and the rule is enforced on the server too.
Is this the same as Product Forms?
No. Product forms collect extra information on a product page. The Advanced Form Builder is for standalone forms and collects their responses in its own inbox and statistics screen.
