GuideWhat to look for when choosing vet clinic software
Why does the pet's information matter at booking?
With a human doctor the patient describes themselves; at the vet it is the owner who speaks for the animal. A booking made without species, breed, age or medicine spends the first five minutes of the exam asking questions. If this is collected at booking, the vet starts prepared.
In the Appointment System, fields such as the pet's name, species, breed, age, diet note and regular medication are added to a service's booking form. In the MagVet demo store name and species are required and the rest are optional; you set them to suit your clinic.
These fields are not a medical file. They are an information note that arrives with the booking, is collected consistently and is hard to lose.
When the questions stay short, the form is quick too: even a first-time owner fills it in within a few minutes, and you get the answer to everything you ask along with the booking.
How do the vaccine card and reminders work?
The vaccine card is one of the most important documents for a vet, yet it is often not with the owner at the first visit. Adding a photo or PDF upload field to the booking form lets the owner attach the document from home, on their phone.
This structure does not produce an automatic vaccination calendar; you manage vaccine and check-up visits as appointments. When the vet names the next visit, the secretary books it at once as a recurring appointment, and the system sends reminders at 72, 24 and 2 hours before each one. The owner does not have to keep the date in mind.
For an annual booster a similar booking service is set up and the owner is contacted in advance.
A saved card photo helps the vet see at a glance which vaccines were given; without it the owner is asked during the exam, and the vet's judgement remains decisive.
How do examination, grooming and the pet hotel sit in one system?
Vet clinics often do three separate jobs: examination and treatment, grooming, and boarding. Each has a different length and resource; an exam takes half an hour, a grooming session two hours, a stay many nights.
In the Appointment System, services are defined with their durations. For stays, a nightly price, a minimum number of nights and a deposit are set, and rooms are entered as resources. Guests search by date range and filter by room features.
The pet hotel runs as a separate line of business in this structure, but it shows in the same panel with the same owner record.
A deposit on stays lowers the risk of an empty room, especially around holidays. A minimum number of nights also keeps short, frequent bookings from fragmenting the calendar.
When do the shop and multi-branch features come in?
For a vet, the core is booking; no cart is needed. If you want to sell food, accessories or care products at the clinic, E-Commerce is taken separately and works independently of the booking flow. This order spares you from building a shop you do not need up front.
If you have several branches, Franchise & Multi-Branch Management lets you manage each branch's services, staff, hours and prices separately. Occupancy analytics show which branch is busy at which hours.
Both plugins are added as your business grows; a small clinic can start with booking.
A small clinic can start with booking and add the shop or the branches only when the business needs them, so you are not tied up with unnecessary setup on day one.
Owners who do not show and team organisation
An empty slot is a real loss for procedures that need surgery or anaesthesia. Reminders, a deposit and the option of charging a saved card for a no-show are the practical ways to reduce it. You decide which one to use for which service.
Team organisation needs the same care. The vet, the assistant and the front desk do not need to look at the same screen with the same permissions. Roles & Permissions defines who sees what by page and action.
The blog section is a way of informing pet owners that takes less effort than answering the same questions one by one on the phone.
