GuideWhat to know when choosing dry cleaning software
Why is dry cleaning software different from an ordinary appointment book?
At a hair salon or a clinic, the appointment is the moment the work starts. In dry cleaning, the appointment is only the first step. The customer leaves their garments and you carry responsibility for them for days. So the real need is not giving out time slots, but keeping every item on record and sharing the stage of the job with the customer.
Good software photographs the garment at intake, ties it to a tag number and carries that record until pick-up. The appointment is the start of that chain; it lets the customer arrive without waiting at the counter.
So when choosing software, the first question should not be “how many appointments a day does it take” but “what happens to the record of a left item until pick-up”. If intake photos, tag numbers, status steps and pick-up verification do not meet in one record, what you have is still a ledger; it just sits on a screen.
Why do tag numbers and intake photos matter so much?
Most disputes at pick-up come from disagreeing about the garment's first condition. A photo taken at intake and a tag number written on the item give both sides the same reference. The customer sees how the item was left, and you can show what you received.
Tag numbers also reduce confusion inside the shop. Finding the right record among dozens of items that arrived the same day is much quicker than turning pages in a ledger. Even when a rug, a jacket and a pair of shoes are in one order, each item carries its own record.
The photo is not only for disputes. Recording a stained or torn garment at intake also makes the inspection conversation easier: if extra work is needed, you can show what you saw. That openness builds trust at the very start of the job and makes a later “it was not like this” harder to claim.
How do status messages reduce phone traffic?
When customers call, they usually want to learn one thing: is my job ready? If you do not give that information on your own, every customer becomes a call. Once you define your status steps and send a message at each one, the customer gets the answer without asking.
The tracking link in the intake message keeps that information always within reach. SMS Notifications and WhatsApp Notifications carry these messages, and which channel you use depends on your customers' habits. The result is a calmer day at the counter and on the phone.
The number of messages matters too. Sending a message for every small movement tires the customer; picking the turning points such as intake, ready and hand-over is often enough. You decide which step sends a message, so the information is neither missing nor excessive.
How does code-verified pick-up prevent wrong hand-overs?
At intake, each order gets its own pick-up code and tracking link. The customer says the code at the counter or scans the QR in the link, and the system verifies the order. Even if the slip is lost or someone else comes for the items, the code is what verifies the hand-over.
Handing over ready items separately is possible too. A customer can collect their shirts immediately while the rug is still being washed; which item was delivered and which is waiting shows in the record.
A side benefit of the code is speed at the counter: when the customer says the code, you do not have to look for a slip. The Beyaz Atölye demo store also explains that after wrong code attempts the order is locked for a short time, so guessing a code is not an easy way to reach someone's items.
What do business and bulk jobs need?
Jobs from hotels, offices or restaurants repeat and usually have many items. Two needs stand out with these customers: keeping their history apart and issuing official documents. With CRM you keep company records and notes, and with recurring appointments you plan regular deliveries.
Magic Payment Link for collection and E-Invoice Integration for documents work in the same panel. That way a large customer's job does not get lost among the small ones.
For jobs like weekly hotel linen or restaurant tablecloths, you do not want to re-enter the same details at every hand-over. Once you record the company and set up recurring appointments, you only look at the items that change; the balance and the document come from the same place every time.
