How to top up and track your shipment balance
Load balance so you can print shipping labels, follow each charge in the transaction history, and catch the warning before it runs out.
When you print a shipping label from the panel, the cost comes out of a prepaid balance. The Shipment Balance screen manages that pool: it shows your current balance, lets you top it up, and lists every deduction one by one. When the balance hits zero you cannot create new shipments — which is why the screen gives you a clear warning when it runs out.

- A panel account that can see the finance screens
- The card you will use to top up
- A shipping integration already set up
Steps
Screens are illustrative; the data in your own panel will differ.
Step 1: See your current balance
Finance > Shipment Balance opens on Current Balance. That figure falls as shipping labels are printed. Below it, Transaction History lists every movement with its Type, Amount, Balance After, Description and Date; with no movements yet, the panel says shipment charges and balance additions will appear there.

Click Add Balance and enter an amount. A payment form opens for you to pay by card, and the panel says so while it loads. Once payment completes the balance updates immediately and the panel confirms it. If payment fails you are asked to try again — nothing is deducted.

Each row's Type is either Addition or Deduction. Addition rows are described as a balance top-up via payment, deduction rows as a shipment charge. The Balance After column gives what remained after that movement, so reading down the list shows you exactly how the balance drained.

When the balance is exhausted the panel states plainly that new purchases are blocked. That does not mean your store has closed — it means label printing stops. Top up and you can print labels for the waiting orders as normal; nothing is lost, the shipping step simply waits.

Tips
Go into a busy period with balance in hand
On campaign days your shipment count multiplies and the balance drains faster than you expect. Look at the sum of last week's deductions in the transaction history and top up for the week ahead accordingly; running out mid-rush means orders piling up at the shipping step.
Deduction rows are your real cost
Transaction History is the most honest source for what shipping actually costs you per parcel. When setting the shipping fee you charge customers, use the average of those rows rather than a guess.
A failed payment never touches the balance
When a payment fails the panel asks you to try again and the balance is unchanged. If you attempted the same top-up twice, check Transaction History — only the one that actually went through appears as a row.
Frequently asked questions
- Why is the balance prepaid?
- Printing a label creates a cost with the carrier at that moment. A prepaid balance makes that cost come off instantly and individually per shipment, so instead of a surprise invoice at month end you see the price of every parcel as it happens.
- Can I withdraw balance I have loaded?
- The shipment balance is a pool held for shipping charges, and there is no refund action on the screen. That is why topping up in amounts matched to the drain rate in your transaction history is more comfortable than loading a very large sum.
- I have balance but labels will not print
- Balance is not the only requirement: the shipping integration must also be set up and working. If there is no warning on the Shipment Balance screen and the balance is sufficient, the problem is in the integration settings rather than the balance.
- My transaction history is empty
- You have neither topped up nor printed a label yet; the panel says shipment charges and balance additions will appear there. The list starts filling after your first top-up.
