Adding team members and assigning roles

Invite staff into the admin panel, build roles with section-level permissions, and control exactly which screens each member can see and manage.

Your bookkeeper does not need to see orders, your courier should not see product costs, and your waiter has no business in the reports. Team & Roles solves that on one screen: you define a role first (choosing what it may do in each section), then assign your people to it. An admin with no role assigned has unlimited access — which is why the order matters: role first, member second.

Before you start

  • The Team & Roles (RBAC) plugin enabled on your store
  • Signed in as the store owner or with the staff permission
  • The e-mail address of the person you want to invite

Steps

Screens are illustrative; the data in your own panel will differ.

  1. Step 1: Open the Team & Roles page

Go to Ayarlar → Ekip ve Roller. The page has two tabs: Ekip Üyeleri (team members) and Roller (roles). On a new store only your own row is listed, carrying the Sahip (owner) badge.

  2. Step 2: Create the role first

Switch to the Roller tab and press Yeni Rol. The role name is your own label, never shown to customers. Picking a starting point from the preset list — Muhasebeci, Sipariş Yöneticisi, Kurye, Garson, Şef / Mutfak, Katalog Yöneticisi, Destek, Pazarlama — and pressing Uygula ticks a sensible set of permissions you can then adjust.

  3. Step 3: Pick the permissions in the matrix

The permission block is a table: each row is a section (Bölüm), the columns are Görüntüle (view) and Yönet (manage). View is read-only; manage allows changes. Sections are grouped into commerce, bookings, content, CRM, marketing, operations and system. Tümünü seç and Temizle let you start broad or from zero.

  4. Step 4: Add or invite the team member

On the Ekip Üyeleri tab press Üye Ekle. There are two routes: Mevcut Kullanıcı searches people who already have an account on your store by name or e-mail; E-posta ile Davet Et takes just an address — an admin account is created and the person receives a link to set their own password. You should see 'Davet gönderildi'.

  5. Step 5: Change an existing member's roles

Click Rolleri Düzenle on the member's row. If a member shows 'Rol atanmadı — tam yetkili', that person currently sees every screen; pick at least one role and press Atamaları Kaydet. Çıkar removes them from the team entirely and revokes admin access.

  6. Step 6: Limit the role to specific branches if needed

If you have branches defined, the assignment screen offers a branch scope. Select none and the role applies to all branches. For a cashier who works in one location only, do not leave this empty — otherwise they can read every branch's data.

Tips

An empty role field is the most dangerous setting here

Every admin you add is fully privileged until a role is assigned. A forgotten assignment does not restrict access — it opens it completely. Pick the role on the same screen where you add the member, never later.

Deleting a role releases people, it does not lock them out

As the delete confirmation says, users assigned to that role revert to full access. To restrict a team, narrow the role's permissions or move the members to another role first — never just delete it.

Frequently asked questions

How do I manage staff without the plugin?
With the plugin off, the menu shows Ayarlar → Kullanıcı Rolleri instead. There you can only make someone an admin or take that away; there are no section-level permissions, so an admin sees everything. Once the plugin is enabled that page redirects straight to Ekip ve Roller.
Can I restrict the store owner?
No. The account badged Sahip always has full access and the assignment screen says so explicitly. System roles are equally immutable — their permission matrix is locked.
What does a member see if they open a page they lack rights to?
They get an 'Erişim yetkiniz yok' notice asking them to contact the store administrator. The section is also hidden from their menu, so nobody hunts for a screen that is not there for them.
