Customer notes and timeline
Keep notes, files and milestones per customer; hold a note privately for your team or let the customer see it on their own profile.
Your whole relationship with a customer does not fit in the order list: what you discussed, what measurements you took, which treatment you applied, which file you sent. Customer notes keep a timeline per customer. The critical distinction is visibility: a private note belongs to your team alone, while a public note appears on the customer's own profile.
Before you start
- A panel account that can open customer records
- The customer already registered in your store
- Any file you attach to be under the size limit
Steps
Screens are illustrative; the data in your own panel will differ.
Step 1: Open the customer and add the first note
Open the customer from Customers > All Customers and go to their notes. With no entries yet, the panel tells you to click Add Note to create the first one. The dialog that opens states that you are adding a new entry to this customer's timeline.

The Type field says what the entry is: Note, Progress, Service, Follow-up or Milestone. The distinction earns its keep in service businesses — a physiotherapist marks sessions as Service, development as Progress and a check-up as Follow-up, and the timeline becomes a treatment history.

The most important decision on this form is Public versus Private. Only your store team can see a private note; it is never shown to the customer. Choose Public and the customer can see that note on their profile. An internal assessment and a message left for the customer are written in the same place — this switch is the only thing separating them.

The Content field supports Markdown: bold, italic, lists and headings. Write under Edit and check the result under Preview. You must fill in at least one of title, content or a file — the panel will not save with all three empty.

Drag files onto the Attachments area or click to browse; any file type is accepted and the panel prints the maximum size on screen. If a file is over the limit it names the file, its size and the limit together. Attached files can be retrieved later with Download.

Every entry on the timeline records who added it. Edit Note lets you change the content or the visibility afterwards — that is how you turn a note you accidentally made public back into a private one. Delete note is permanent, and the panel asks you to confirm.

Tips
Treat private as the default
A customer seeing a note is not something you can take back — once they have read it, they have read it. Keep anything you are unsure about private; making it public later is easy, and the reverse is not.
Use titles, long notes are hard to search
Title is optional and usually left blank. On a timeline with dozens of entries, untitled notes all look alike; a short title is the fastest way to find the right one months later.
Be consistent with the type field
Recording the same kind of work sometimes as Service and sometimes as Note makes the timeline unreadable. Agree a short rule as a team — which type is used when — and stick to it.
Frequently asked questions
- Can the customer see private notes?
- No. Only your store team can see a private note and it is never shown to the customer. For entries you want the customer to read, set the visibility to Public.
- Save does nothing when I add a note
- The panel requires at least one of title, content or a file; with all three empty it refuses and says so on screen. You see this warning if you only picked a date and a type.
- My file was rejected
- It exceeded the size limit. The panel names the file, its size and the allowed maximum together. There is no restriction on file type — any type is accepted, only the size is limited.
- I added a note to the wrong customer
- There is no way to move a note between customers; delete it from the wrong record and create it again on the right one. Because deletion is permanent, copy the text you will retype before deleting.
